Delivery notes into a stock spreadsheet
A delivery note is a table that arrives as paper. Somebody has to turn it back into a table, usually at the end of a shift, usually by typing it twice: once to check the delivery against the order, and once to update stock.
Datanem reads the whole note, header and line items together, and gives you the goods-in data as rows you can actually work with.

The line items are the point
Most of the value on a delivery note is in the lines, not the header. Twenty products, each with a quantity, a unit, a code and often a batch number and a date. Datanem keeps those as their own rows linked back to the note, so you can total a product across every delivery this month without unpicking anything.
Units are read as written rather than guessed at, because a case, a tray and a kilogram are not interchangeable and a spreadsheet that quietly treats them as the same number is worse than no spreadsheet.
Dates, batches and allergens
Best before and use by are different things and are kept apart, because one is quality and the other is safety. Batch and lot numbers are captured where they are printed, which is what makes a recall traceable after the fact.
Allergen markers printed on the note are picked up as written. This is a transcription of what the supplier stated, not a food safety assessment, and it does not replace your own due diligence on supplier specifications.
Photographs of the paperwork are fine
Delivery notes rarely arrive as clean PDFs. More often it is a phone photograph taken at the bay door, or a scan of a carbon copy that has been through a van. Datanem runs images and scanned PDFs through optical character recognition first.
PDF, DOCX, DOC, TXT, PNG, JPEG and WebP are accepted, up to 10 MB per file and up to 250 files in one batch.
Checks that catch the obvious problems
Line quantities are checked against stated totals where the note gives both, and anything that does not add up is flagged rather than passed through silently. A row you have been told to look at is worth more than a row you have been told is fine.
Export as Excel with the notes and their line items on separate sheets, CSV for import into a stock system, or SQL if it is going into a database.

Where your document goes
It is stored in the EU
Uploads sit in an EU-only bucket and the database is EU-constrained. Neither leaves. Reading the document is done by a French provider whose standard endpoint does not commit to an inference location, so that step may run outside the EEA: the detail is on the security page.
It is deleted
Uploads and the data drawn from them are removed automatically after 30 days on the free plan, longer on paid plans. You can delete a job yourself at any point before that, and the file leaves storage immediately when you do.
It never trains a model
We have no training pipeline. Our extraction provider offers training as an opt-out and we have opted out, so your content is excluded.
Nothing here is a certification
We are registered with the Information Commissioner's Office and the measures above are the ones actually in place. We hold no security certification and do not claim one.

What it costs
- What can I do for free?
- One document with no account at all, which is the trial at the top of this page. Create a free account and you get 20 documents to start with, then 10 a month after that, for ever. No card either way.
- What uses it up?
- Documents, not pages and not fields. A file of up to 10 pages counts as one document; a longer one counts as another document per 10 pages, so a 30-page statement counts as three.
- What happens when the free documents run out?
- Nothing is deleted and nothing is charged. Extraction stops until the monthly allowance resets, you buy credit, or you take a plan.
- What is the first paid option?
- Starter, at £9 a month for 150 documents. Monthly, no contract.
- Is there pay as you go?
- Yes. £0.20 per document with no subscription, bought from 25 upwards. Bought documents do not expire.
- What are the limits on a file?
- Up to 10 MB per file and up to 250 files in one batch. PDFs, Word documents, plain text and photographs; scans go through optical character recognition first.

Questions
- Can it read a photo of a delivery note?
- Yes. Photographs and scans go through optical character recognition before extraction. Clear, flat, well-lit images read best, but creased carbon copies usually work.
- Does one note with thirty lines cost thirty documents?
- No. One document read is one credit, whatever comes out of it. A note with thirty line items costs the same as a note with one.
- Can I match deliveries against purchase orders?
- The purchase order reference is captured where it is printed on the note, so you can join the two in your own spreadsheet or database. Datanem does not hold your purchase orders for you.
- Are the allergen markers a food safety check?
- No. Datanem transcribes what the supplier printed on the note. It is a record of what you were told, not an assessment, and it does not replace supplier specifications or your own HACCP process.
